Your Responsibilities
• Reception / Switchboard
• Back Office / Office Management and Filing
• General secretarial duties, including mail processing
• Preparation of bids
• Coordination of appointments for site and project managers
• Preparation of minutes
• Supporting project managers in preparing bills of quantities, evaluating bids, auditing invoices, etc.
• Preparation of reports and minutes in collaboration with the project manager
• Evaluation and preparation of award proposals for bidders (including preparation of price comparisons)
• Use of the tendering software "ORCA AVA", supporting project managers in preparing bills of quantities, evaluating bids, auditing invoices, etc., possibly responsible for layout design, library data, etc.
• Maintenance of cost overviews and cost controls

Your Profile
• Completed vocational training as an office clerk or equivalent
• Professional experience in the building services engineering or elevator industry
• Strong teamwork and communication skills
• Independent, reliable, and structured working style combined with excellent organizational skills and efficient time management
• Highly motivated and committed, as well as an interest in the construction industry
• Proficient in the use of Office 365 (Word, Excel, Outlook, PowerPoint, TEAMS)
• Very good written and spoken German skills

• Angebotserstellung
• Terminkoordination für Standort- und Projektleiter
• Erstellen von Protokollen
• Unterstützung der Projektleiter bei Erstellung von Leistungsverzeichnissen, Angebots-auswertung, Rechnungsprüfung, etc.
• Vorbereitung von Berichten und Protokollen in Zusammenarbeit mit dem Projektleiter
• Auswertung und Vorbereitung von Vergabevorschlägen der Bieterangebote (inkl. Erstellung von Preisspiegeln)
• Verwendung der Ausschreibungssoftware „ORCA AVA“, Unterstützung der Projektleiter bei der LV-Erstellung, Angebotsauswertung, Rechnungsprüfung, etc., ggf. zukünftig verantwortlich für Layoutgestaltung, Bibliotheken Daten, etc.
• Pflege von Kostenübersichten und Kostenkontrollen
